Two jobs eat time in almost every small business: chasing late payments and following up new enquiries. Both are repetitive and easy to forget, which makes them ideal for automation. Here is how to set each one up.
Automation 1: invoice reminders
What it does
Your accounting software already knows which invoices are overdue. The automation sends a polite reminder at set intervals and alerts you if an invoice stays unpaid.
A simple sequence
- A few days before the due date, send a friendly heads-up.
- On the due date, send the invoice link again.
- A week after, send a firm but polite reminder.
- After two weeks, notify you to phone the customer.
How to build it
Many accounting tools, including Xero, QuickBooks and FreeAgent, have built-in automatic reminders. If yours does not, use a workflow tool to check overdue invoices each morning and send an email or message. See our guide to accounting software for UK freelancers.
Automation 2: lead follow-up
What it does
When someone fills in your contact form, the automation saves the details, notifies you, and sends the person a prompt confirmation so they know you received their message.
A simple flow
- Form submitted on your website.
- Details added to a spreadsheet, CRM or task board.
- You get a notification on email or chat.
- The customer receives an automatic acknowledgement with your reply time.
- If nobody replies within two days, you get a reminder.
Which tool should you use?
Zapier is the easiest to start with. Make offers visual flows at a lower cost for many uses. n8n is flexible and can be self-hosted. Our n8n vs Zapier vs Make comparison explains the differences.
Keep it polite and legal
- Reminders should be courteous. They are about your customer relationship.
- For marketing emails, you need consent under UK GDPR and PECR rules. A reply to someone’s own enquiry is different from a marketing campaign.
- Always include your business details in emails.
Frequently asked questions
Will automation make my business feel impersonal?
Not if the messages are short, human and useful. Use automation for the routine parts, and reply personally to real conversations.
How long does it take to set up?
A basic reminder or enquiry flow can be built in an afternoon. Testing carefully matters most.
Can you build this for me?
Yes. See our business automation service.
