Small businesses lose hours every week to copying data between apps, chasing late invoices and writing the same reports. Most of this can be automated without building software from scratch. These five tasks are good starting points, with the tools usually used to handle them.

Which tools do the work?

Three popular no-code tools connect apps together: Zapier (easiest to start), Make (more flexible workflows) and n8n (can be self-hosted, useful for more control over your data). For anything these cannot do, a short custom script usually fills the gap.

1. Invoice reminders

Connect your accounting software, such as Xero or QuickBooks, to email so reminders go out automatically before and after the due date. This reduces late payments without awkward chasing.

2. Capturing new leads

When someone fills in your website contact form, create a contact in your CRM, notify you in your messaging app and send an automatic acknowledgement. Free CRM plans are enough to start.

3. Saving email attachments

Automatically save invoices and receipts that arrive by email into the right cloud folder and log them in a spreadsheet. This helps at tax time.

4. Weekly reports

Pull numbers from your spreadsheet, shop or analytics tool and email yourself a short weekly summary every Monday morning instead of building it by hand.

5. New customer onboarding

When a customer signs up or pays, send a welcome email, create a task checklist for your team and add them to the right mailing list.

Before you automate

  • Map the process first. Automating a messy process just makes mistakes faster.
  • Start with one task that is frequent, simple and rule-based.
  • Check data protection. If you move customer data between tools, make sure each tool is covered by your UK GDPR obligations and your privacy notice.
  • Add error alerts so you are told when an automation fails.
  • Keep a human check on anything involving money.

Frequently asked questions

How much does automation cost?

Many tools have free tiers for light use. Paid plans usually scale with the number of tasks you run each month.

Do I need to code?

Not for most workflows. Code helps for custom logic or unusual systems.

Which tool should I pick?

Zapier for simplicity, Make for complex flows on a budget, and n8n if you want to self-host and control your data.
